Tsebo Design Administrator


Tsebo Facilities is looking for a Design admin to assist with supporting the project.

Duties & Responsibilities

Project Coordination and Documentation:

  • Assist in maintaining project files, including drawings, specifications, and correspondence.
  • Coordinate with project teams to ensure timely document submissions and approvals.
  • Prepare meeting agendas, minutes, and action items.

Communication and Correspondence:

  • Manage emails, phone calls, and inquiries related to design projects.
  • Liaise with clients, contractors, and vendors to facilitate effective communication.
  • Draft and proofread project-related correspondence.

Vendor and Supplier Coordination

  • Communicate with suppliers, manufacturers, and subcontractors.
  • Obtain quotes, samples, and product information as needed.

Design Library Maintenance:

  • Organize and update the design library with material samples, finishes, and catalogs.
  • Assist designers in sourcing materials and finishes for projects

Project Documentation and Filing:

  • Maintain organized project files, both physical and digital.
  • Archive completed projects and ensure proper documentation for future reference.

Meeting Support:

  • Set up and prepare meeting rooms for design presentations and client meetings.
  • Take meeting minutes and distribute action items to the team.

Administrative Support:

  • Handle general administrative tasks, such as ordering office supplies and managing office equipment.
  • Assist with other ad-hoc duties as required


Skills and Competencies
  • Knowledge of technical equipment, materials and suppliers used in facilities management.
  • Have a good knowledge of machine tools, general maintenance.
  • Familiar with instrumentation related to air conditioning systems and Building Management Systems.
  • Negotiating skills
  • Time Management Skills Supplier/Sub-Contractor management
  • Experience with technical systems required
  • Excellent skills with common hand and power tools
  • Familiarity with building layouts and infrastructures Hospitality and customer centric focus


Qualifications
  • Matric
  • Tertiary qualification in Design
